Your discipline module and the core features in every plan · 30 days free, no card

In short
Klubownik is software for running a judo club: groups, schedule, attendance, fees and contact with parents, plus a martial arts module with rank templates (the Polish Judo Association system with intermediate belts and the classic 6 kyu layout), exams, medical checks and licences with expiry dates, and competition entries as CSV. The first 30 days are free, no card.
What you get
Kyu/dan templates with intermediate belts
Two ready templates: the Polish Judo Association system (9 kyu grades with intermediate belts such as white-yellow, and 10 dan) and the classic 6 kyu and 10 dan layout. Add further ranks with a colour, image and requirements.
Progress towards the next rank
Each rank has requirements: sessions since the last rank, time in training and age. Parents and athletes see the progress and a “Ready for exam” marker, and the club — the owner or an administrator — awards the rank.
Exams with sign-ups and fees
Date, capacity and online payment. The club signs people up and, once enabled, so can parents or anyone via a link or a widget on the club website. A passed exam records the new rank in the history right away and notifies parents.
Documents with expiry dates
Licences, medical checks and insurance with expiry dates. Parents upload a scan, the club approves it and, once reminders are enabled, the system warns before expiry.
Competition entries
A CSV file in federation formats (incl. PZK, PZJudo, PZKB, PZB, ALMMA) with a check that athletes have all their documents.
Child safeguarding
Standards, staff declarations, an incident register and a reminder to review the standards — in every plan. The documents are in Polish and do not replace checking staff in the official registers.

Sign-up or trial class
A parent leaves an enquiry through the club’s form or books a trial class on the club website built in Klubownik. The enquiry lands in Recruitment, and messages before and after the trial go out automatically.
Group and fees
The participant joins a group by age, and the membership fee or pass is created automatically every period. The parent pays by bank transfer with a ready reference or online, and the system sends reminders about arrears.
Attendance and progress
The coach takes attendance on the phone, and every session brings the athlete closer to the requirements of the next rank. Parents and athletes see the progress in the panel.
Exam and new rank
A passed exam immediately records the new rank in the history and notifies parents. You can also award a rank manually, to one person or several at once.
Frequently asked questions
How do I set up intermediate belts, e.g. white-yellow?
Choose the Polish Judo Association template — it has the white-yellow, yellow-orange and orange-green intermediate belts (5.5, 4.5 and 3.5 kyu). Add others as your own ranks — with a colour, image and requirements.
Will you remind us about expiring medicals and licences?
Yes. Athlete documents have expiry dates and, once reminders are enabled, the system warns before expiry (30 days ahead by default). Parents can upload a new scan, which the club approves.
Can I prepare competition entries?
Yes. The generator creates a CSV file in the PZJudo format (or your own) and checks that athletes have all their documents.
How much does Klubownik cost?
Plans differ by the limit of active participants, text messages and file storage — the features are the same. Monthly prices incl. VAT: Starter PLN 49 (up to 50 participants); Standard PLN 99 (up to 150 participants); Pro PLN 179 (up to 500 participants). Paying yearly costs less, and the first 30 days are free, no card.
How do I move my data and get started?
Upload participants and guardians from XLSX/CSV. The wizard suggests mappings, detects matching people and can create missing groups; review the preview before saving. Undo within 72 hours has limits and does not restore fields filled in for existing participants. Request free help with setup and file import through the Settings Questionnaire.
Is there an app for parents?
Parents use the panel in the browser and can install it on their phone like an app. In Poland, Android users can also get the Klubownik app on Google Play. On iPhone, notifications work after adding the panel to the home screen.
