Martial arts ranks and exams: records, decisions and results
Separate the rank programme, attendance records, instructor decisions and exam results. A practical workflow without promises of automatic technique or federation checks.
Preparing an exam means agreeing the programme, participants, date and responsibility for the result. When ranks, attendance and registrations sit in different places, readiness to attempt an exam is easily confused with registration itself. Organise those stages separately, whatever your school's size.
1. Define the programme and what ranks mean
Record the rank order and your organisation's rules in one place. Separate age, time and attendance conditions from technical assessment and additional documents. Requirements depend on the activity and programme; an example training count is not automatically a karate, BJJ, judo or taekwondo standard.
Record who approves requirements and when they apply. When changing the programme, decide how earlier achievements are treated. Do not rewrite history to imply that past assessments used new rules when they did not.
2. Make the input data reliable
Check the current rank, award date, appropriate progression system and recorded attendance. Missing history or incomplete class records can change an indicator. A participant returning after a break or arriving from another club needs an individual review and an agreed starting point.
Klubownik's progression view uses the recorded rank, dates and attendance. Requirement indicators depend on configuration and complete data. An unspecified requirement does not prove readiness; a counter does not assess technique or every programme condition.
3. Separate an indicator from an instructor's decision
Prepare a list for review, check missing elements and then decide whom to invite. Authorised people assess technique, safety and readiness. Reaching an attendance count should not replace that assessment.
Do not assume automatic checking of an external federation, its fees or any document. If your school requires these conditions, assign responsibility and establish how they are confirmed. An internal record is not itself a response from a federation system.
4. Publish a checked date and registration conditions
Provide the venue, date, level, organiser, fee and registration deadline. Explain whether an invitation means admission or whether approval is still required. Check event capacity, recipients and updated information after rescheduling.
In Klubownik, an exam has its own state and publication conditions. A registration list, a payment, a result and publication of that result are different facts. Prepare an example with a parent of two children and check that information concerns the right participant.
5. Record the actual result after the exam
Assign responsibility for entering and checking results. Compare the result with the current rank and history, and preserve the appropriate context when correcting it. An unsuccessful attempt is different from absence or withdrawal before the exam.
A rank award, result publication and communication to a parent depend on the workflow and settings. Do not promise an automatic award after an arbitrary training count, a self-generating monthly report or a message after every entry without accepting that specific rule. A certificate does not establish any external qualification by default.
6. Make the record understandable to parents
The parent portal can show available child information according to permissions and the activity module. Distinguish the current rank, history, a data-derived indicator and a message about a particular exam. Explain what requires a conversation with the instructor.
Share the appropriate scope only. Internal organisational notes should not be copied into a public announcement. Check the recipient before sending and how information is updated after a corrected date or result.
Accept one complete workflow
- Check the programme, initial rank and sample attendance.
- Review requirements and the instructor's admission decision.
- Confirm registration, payment and the correct guardian's view.
- Record a result and check history and publication scope.
- Also test missing data, absence or a correction.
Start with a small sample and measure administration time in your own club. There is no confirmed number of hours the same configuration saves every school. Explore attendance records and the Klubownik demo using sample data. Demo entry requires an email address and an activity type; progression belongs to the relevant module rather than being identical across every discipline.
