Moving to Klubownik from another system — import scope and first steps

Start by checking what your current system can export. Klubownik imports Excel (.xlsx) or CSV files. This does not connect accounts between systems or transfer your club's entire history automatically.

What the importer transfers

You can import participants, guardians, groups, training locations and payments recorded in monthly columns. An amount in a monthly column becomes a paid membership fee in the participant's group. Review column mapping and the data preview before importing.

Prepare your own file or export one from WodGuru, MAAT or eFitness. Instructions and header recognition help you work with that file; Klubownik does not fetch data directly from your previous account.

What is not imported

• Attendance history and class schedules.
• Passes, invoices and documents.
• Parents' login accounts from the previous app.

Groups can be created from the file, but you set up their schedules in Klubownik. Assign passes and invite guardians to create accounts after importing. Keep exports or an archive of documents and history you need from the previous system.

Preparing the move

1. Check the current pricing and limit of non-archived participant profiles across the owner's clubs, including pending, inactive and suspended profiles. Check available capacity before importing.
2. Prepare the file and check contact details. Each row represents one participant with one guardian and one group.
3. Review column mapping, monthly amounts and a sample of participant and guardian records.
4. Set up schedules, assign passes and send parent invitations once the data is checked.

Free help and timing

You can complete the Settings Survey in Settings. We configure your club from your answers and import your file free of charge. This does not promise three years of complete history or a fixed completion time for every dataset. Agree on scope and timing after the file has been checked.

You can undo an import for 72 hours provided imported records have no new payments, refunds or invoices. Undo checks current dependencies. Do not assume that field values filled in previously existing records are automatically reverted. Check the result before starting day-to-day billing.

Match the product to your needs

Klubownik's shooting module covers courses, registrations, training documents, certificates and events. It does not maintain firearm, ammunition or permit registers. Check the current scope of financial and document features, and compare system prices for the same participant count and required services.
