Coach pay: rates per class, hour or participant present
Compare four rate models, agree cover rules and review each month's statement. Understand what Klubownik records and what remains with accounting.
Coach pay starts with two reliable records: the agreed rate and the classes the coach actually taught. Choose a rate per class, per hour, per participant present or a fixed monthly amount. Agree how cover works, then review and approve each month's statement before paying it. The earnings record supports that process; payroll, tax and social contributions still need the club's accounting arrangements.
Four ways to set a rate
Different models suit different teaching arrangements. Discuss the consequences with the coach before applying one.
Per class
A fixed amount for each class taught is straightforward to review. It treats a short class and a much longer class the same unless you configure different rates, so it is most useful where session lengths are similar or group rates reflect the difference.
Per hour
An hourly rate can fit groups with different session lengths. It depends on an accurate schedule and class duration. A timetable correction may therefore affect the amount due, so review the underlying record before approving the month.
Per participant present
A rate for each person attending links earnings to recorded attendance. It only works with a completed register for every relevant class. A newly established small group can generate a low amount under this model; make that clear in advance. Agree how trial participants are treated rather than leaving the question until payment day.
Fixed monthly amount
A fixed monthly amount offers a predictable starting figure. It does not itself explain what happens when classes are cancelled or extra sessions are added. Put those arrangements in the agreement.
You can use different models for different groups. For example:
- Group A: the number of classes actually taught multiplied by the agreed class rate.
- Group B: the sum of recorded participant attendances across the month's classes multiplied by the participant rate.
- Monthly statement: the relevant earnings, with separately explained bonuses or adjustments.
When changing a rate during the season, record its effective date. Without it, the club and coach may interpret the same increase as applying to different periods.
Agree cover arrangements before the first substitution
Cover creates avoidable questions when the only record is a private message between two coaches. Agree:
- who finds a substitute: the usual coach or the club;
- who approves the change and updates the actual class assignment;
- who is paid for the session, normally the person who actually teaches under the agreed arrangement;
- which rate applies: the substitute's rate or another rate expressly agreed by the club;
- what happens to cancelled sessions, particularly under a fixed monthly arrangement.
If an assistant or volunteer helps with a class, establish their role and any separate payment in the relevant agreement. An entry in a timetable should reflect the agreed working arrangement.
Record bonuses and additional work separately
Coaches may also attend competitions, lead trial sessions, prepare demonstrations or work at a camp. Decide which tasks are paid and how their rates are determined before they take place. A bonus should have a short explanation of the work and period it covers.
That explanation makes the statement understandable later. Avoid replacing an unexplained total with another unexplained “adjustment”. Keep the underlying classes, bonus and correction visible as separate reasons for the amount.
Close the month before making the payment
Choose a regular review date, such as the third working day, and tell the team when to expect their statement. Then:
- Check the actual teaching assignments, completed classes and attendance records.
- Prepare a statement for each coach showing the relevant classes, hours or attendances, rate and amount.
- Let the coach review it before approval. Resolve a missing class or incorrect cover assignment at this point.
- Add explained bonuses or corrections, then approve the statement.
- Make the payment through the club's normal payment process and record its status afterwards.
- Give the reviewed information to the person responsible for accounting or payroll.
A date in the calendar is not, by itself, confirmation that a class took place. Likewise, a “paid” label in a management system is not proof that a bank transfer has been sent.
Put the working rules in the coach's agreement
Record the rate model, amount, calculation basis, payment date and rules for cover or cancellation. The earnings statement should then reflect what both sides have agreed.
Choose the contractual arrangement and its tax or social-insurance treatment with an adviser who knows the club's country and circumstances. A management-system template does not establish that one contract type is appropriate throughout the EU. This guide explains record organisation rather than recommending a legal or tax structure.
Keep accounting responsibilities clear
Klubownik calculates class earnings from the club's configured rates. It does not calculate payroll taxes or social contributions and does not generate payroll. In Poland, that includes ZUS contributions. Outside Poland, the club must arrange the relevant local accounting and payroll process.
Give the accountant the reviewed statement and the supporting agreement where needed. Do not treat a software total as a completed calculation of take-home pay or the club's entire employment cost.
How this works in Klubownik
Coach earnings, agreements and cover workflows are off by default. Enable the required options in the instructor settings. Configure class, hourly, attendance-based or fixed monthly rates, their effective dates and any group-specific rates.
- Accrual: closing a completed class creates the relevant earnings entry for its instructor. Depending on club settings, closure can occur automatically after the session or through a club or coach action. Attendance-based earnings use that session's register.
- Review: under Instructors → Earnings, check the month and create or review statements. They move from draft to approval and recorded payment. Bonuses can be added with an explanation.
- Payment status: marking a statement paid records a status. It does not instruct a bank transfer. The club makes the payment separately.
- The coach's view: when enabled, “My statements” shows the coach's own records and payment status. The agreement section provides access to their own agreements.
- Agreements: the system provides supported Polish contract and volunteer-agreement templates, PDF output and amendments, plus upload of the club's own PDF. Online acceptance is available; a qualified electronic signature is not provided. Review any template for the actual jurisdiction and arrangement before use.
- Cover: the instructor can request a specific substitute or ask the team, another instructor accepts, and the club approves.
- Class staffing: record the lead instructor, assistant and volunteer, and review assignments in the instructor schedule.

Frequently asked questions
Can I pay a coach according to the number of participants attending?
Yes. The configured rate can use the participants recorded as present in the sessions taught by that coach. Accurate attendance is essential, and the club should agree how trial participants are handled.
Will Klubownik calculate tax and social contributions?
No. It records class earnings using the club's rates. Accounting, payroll, tax and social contributions remain outside that calculation.
Can the coach see their own earnings?
Yes, when the feature is enabled. Their panel shows their own statements and payment status, with their own agreements available when that option is enabled.
