Eight club management systems: pricing components for a Polish club

A Poland/PLN scenario with 150 participants, bookings, SMS and payments. Compare eight published subscription components, tax labels and missing fees without a total-cost ranking.

Updated 1 November 2026. This article is published by Klubownik, one of the eight suppliers discussed. It compares public pricing components and implementation questions. We have not completed a hands-on test of every system or obtained complete quotations for the same scenario.

Compare club management software against a real working week: enrolling a participant, opening a parent account, taking attendance, rescheduling a class and recording a payment. A starting price becomes useful when you know what it covers, how the supplier counts your club's size and which charges sit outside the subscription.

One scenario for eight systems

Our example is a club in Poland with 150 active participants, six instructors, one club, 1,200 bookings a month and 200 single-segment SMS messages to Polish numbers. It needs scheduling, attendance, parent and child accounts, recruitment, self-service bookings and billing. The payment model is 150 separate successful BLIK payments of PLN 150: PLN 22,500 monthly, without currency conversion or refunds.

These are calculation assumptions, rather than an actual customer's data or confirmation that every system meets the full scope. A participant is different from a booking: eight bookings for each of 150 people produces the assumed 1,200. A longer message can consume multiple SMS segments. Check each supplier's definition of chargeable accounts, bookings and messages.

Subscriptions and selected add-ons

The components below were checked on 1 November 2026. The calculators were set to the relevant threshold; an advertised entry price is not substituted for a club with 150 participants. Each tax label follows its source. Unconfirmed charges remain unknown.

On a narrow screen, scroll each table horizontally. Keyboard users can focus a table area and use the left and right arrow keys.

Fitssey, 1,200 bookingsPLN 169.88 net; SMS PLN 0.11 net; VAT 23%.Other required add-ons and the selected payment provider's full tariff. Pricing calculator.
Klubownik StandardPLN 99 gross monthly; 150 profiles and 100 SMS monthly.100 additional segments, the package purchase charge, gateway setup and participant payment fees. Pricing.

Selecting an option for this calculation does not prove that it supports every required process. Confirm the scope first, then compare offers on the same tax basis. These figures do not establish a cheapest-to-most-expensive ranking.

What twelve paid cycles show

Multiplication helps estimate the known components. It is different from a complete first-year bill after registration: trials, annual prepayment, activation and the start date can change the number and timing of invoices.

Component calculations excluding unconfirmed charges
OptionTwelve paid cyclesCalculation boundary
ActiveNow Premium 200PLN 3,588 plus VAT.Subscription only.
WodGuru Pro 150PLN 5,988 net.Subscription only; SMS and payments separate.
Klunivo 76–150PLN 3,348 in the pricing page's unit.Twelve monthly charges; no assumed VAT status.
ProTrainUp Silver and the three specified add-onsPLN 2,940 gross base and PLN 1,800 add-ons in the table's unit.Different or unconfirmed tax bases are not added together.
SportsManago ExtendedPLN 3,000 net.Twelve times the rate, not confirmation of twelve instalments.
eFitness Studio monthlyPLN 3,088 net.12 × PLN 249 plus PLN 100 activation.
Fitssey: 1,200 bookings and 200 SMSPLN 2,302.56 net.12 × (PLN 169.88 + 200 × PLN 0.11).
Klubownik StandardPLN 1,188 gross.Subscription only; 100 extra monthly segments and payments separate.

Annual billing can be a different offer. The eFitness Studio PLN 149 net monthly figure represents PLN 1,788 net paid upfront for a year; activation brings that component to PLN 1,888 net before other charges. Klunivo publishes a separate PLN 2,790 annual amount. Show the whole schedule when comparing an annual prepayment with another supplier's instalments.

Payment fees can change the bill

For our model, the public standard Stripe BLIK tariff of 1.6% +PLN 1 gives 150 × (PLN 150 × 1.6% +PLN 1) = PLN 510 monthly, or PLN 6,120 over twelve cycles. This is the specified payment-processing component, without currency conversion or refunds, rather than confirmation of a club's individual merchant agreement.

The WodGuru payment guide lists 1.2% for Autopay. For PLN 22,500 that produces PLN 270 in percentage charges monthly, or PLN 3,240 over twelve cycles. Confirm the complete tariff, fixed charges and taxes separately. Missing items are not assigned a zero value, and amounts with an unconfirmed tax basis are not added to the subscription.

Separate the payment provider's charge from the software subscription and any surcharge set by the club. Check refunds, payouts, currencies and who contracts with the provider. A payment button alone does not establish the price of these services.

Twelve questions for a demonstration

  1. Billing unit: an active participant, every non-archived profile, a family account, a staff account or a booking? What changes the bill during recruitment?
  2. Scheduling: demonstrate a recurring group, a substitute instructor, a rescheduled class and two venues.
  3. Attendance: check an absence, a late arrival, instructor permissions and the conditions for working offline.
  4. Families: test a parent with two children, a second guardian and the child's access boundaries.
  5. Recruitment: follow a form submission through a trial class into the ongoing group; establish when the new profile counts towards the limit.
  6. Bookings and make-ups: check capacity, cancellations, eligibility for a make-up class and the waiting list.
  7. Billing: demonstrate a discount, an overpayment, a debt, a partial payment and payment matching.
  8. Online payments: confirm countries, methods, fees, account verification and the scope of recurring payments.
  9. Communication: check channels, SMS segments, limits, recipients and the conditions for a reminder to be sent.
  10. Documents: demonstrate document versions, acceptance records and the correct invoice process. Polish KSeF does not establish compliance in another country.
  11. Staff and events: distinguish instructor earnings records from payroll; check camp enrolment, instalments and required documents.
  12. Starting and leaving: establish import fields, assistance, trial terms, renewal, cancellation and practical export of data and files.

Use sample data for demonstrations. Missing public information is a question to investigate, rather than proof that a feature is absent. Ask the supplier to demonstrate the complete process and record the conditions your club needs.

Where Klubownik fits

In Klubownik, explore recruitment and trial classes, the parent portal, attendance and billing. Plan selection counts non-archived participant profiles across the owner's clubs, including pending, inactive and suspended profiles. Included SMS allowances and additional packages are separate.

Common functions and one activity module do not automatically include every add-on or pilot. The Training Planner needs a separate grant, the API is a pilot, and integrations require setup. Camps use bank transfers; instructor earnings records neither execute a transfer nor provide payroll. Check these conditions in a demonstration rather than inferring them from a plan name.

The parent and participant apps have public listings in the App Store and Google Play. These listings do not establish a native equivalent of the full administrator or coach panel, or availability on every device and market.

A club outside Poland

This calculation concerns Poland, PLN and the assumed BLIK payments. It does not establish an EU-wide offer. A club elsewhere should separately confirm currency, taxes, provider availability, payment methods, the languages of forms and messages, and documents for its country. Choosing an interface language does not confirm all those elements.

Before buying

Request the same scope from each supplier you consider: subscription, required modules, SMS, setup and import, hardware, the full payment tariff, taxes and payment dates. Compare the initial amount, later payments and exit terms. As of this update, we do not have complete confirmed quotations for the entire eight-system scenario, so we do not name a total-cost winner.

Explore Klubownik's demo. Entry requires an email address and an activity type; the demonstration uses sample data. A new owner's first club has a 30-day trial without a card. If your club is outside Poland, confirm an offer before choosing a paid plan.

Product names identify their respective owners. The pricing sources are linked alongside the components; check them again before making a decision. This update covers the documented prices and conditions above, without app-store rating comparisons or unverified claims of superiority.
