Organise camp and day-camp registration around one participant list, a clear payment schedule and the required participant information before the activity begins. This guide sets out the preparation sequence, an example initial-payment plan and the parent communication process. The section on formal registration and the participant card describes Poland; clubs elsewhere must establish the requirements for their organiser, destination and activity.

Write the offer before opening registration

Use the same core information on the website, in parent messages and in the form:

  • Dates and location: the session dates, venue address, meeting point and departure or collection times.
  • Price and inclusions: accommodation where relevant, meals, activities and transport. Identify optional extras separately.
  • Places: capacity and any stated priority, such as existing members or siblings.
  • Discounts: the family discount or other applicable arrangement, including whether offers can be combined.
  • Withdrawal: the agreed process and how the initial payment and balance are handled, subject to applicable rights.

Make the relevant terms available before registration. A family illness or change of plan is easier to review when the organiser has a clear agreement, but the wording must fit the actual contract and law. Do not assume calling an initial payment a “deposit” makes it non-refundable in every situation.

Keep one registration list

Use a consistent form instead of leaving registrations across email, text messages and social comments. Send the form link when someone enquires elsewhere, and provide assisted completion if needed. This reduces repeated transcription without excluding a family that needs help.

The initial form can establish:

  • the participant's name and date of birth where needed;
  • the guardian and suitable contact details during the activity;
  • the selected camp session and options, such as transport;
  • acceptance of the relevant participation terms.

Track registration, initial payment, remaining balance and participant-card completion as distinct items. A completed registration does not prove payment or the completion of every document. Review outstanding items with a named person before departure.

Set an initial payment and balance schedule

The club may use an initial payment followed by one balance payment or several instalments. The amount and timing should follow the actual offer and costs. For example:

  1. Initial payment: due within the agreed period after registration. Establish who verifies it and follows up. Configuring the amount does not, by itself, mean the system automatically releases an unpaid place.
  2. An intermediate instalment: at a stated date between registration and the activity.
  3. Final balance: by a date that allows the organiser to complete arrangements with the venue and transport providers.

Give each family the correct amount after its applicable discounts, rather than only the headline price. Supply the actual transfer details and a reference identifying the child, camp session and payment. A payment labelled only “camp” can be difficult to match when another relative pays.

Explain how an overdue instalment is reviewed: reminder, contact and any subsequent decision under the agreed conditions. Avoid treating an administrative label as a substitute for the withdrawal and refund process.

Send one practical information message before the activity

At an appropriate point before departure or the first day, provide information families can return to:

  • meeting time, location and expected return or collection;
  • packing and activity-equipment list;
  • the camp lead's contact number;
  • arrangements for contacting a child during the activity;
  • any outstanding balance or participant information, directed only to the relevant families.

Keep the message consistent with the actual session and transport option. A reusable outline still needs a final review of dates, contacts and the people receiving it.

Poland: formal notification and the participant card

Where the activity is organised holiday recreation for children and young people under Polish education rules, notification to the relevant education authority and a participant qualification card form part of the process. Check the current regulation on children's and young people's holiday recreation and its amendments, including the 2026 update.

The update took effect on 6 June 2026 and changed the card template. The Polish Ministry of Education's explanation also describes the transitional preservation of summer-2026 cards supplied before entry into force. Do not assume every earlier card had to be replaced.

  • Provide the required card and an appropriate completion deadline.
  • Restrict access to health and other sensitive information to the people who need it for their role.
  • Arrange for the responsible staff to review necessary information about allergies, medication, diet and support needs before the activity.

These are general Poland-specific pointers checked on 1 November 2026, not a complete legal or medical procedure. Confirm the classification of your activity and requirements with the appropriate authority or adviser. A Polish card is not a universal EU camp form.

Photographs during the camp

If the club provides photographs, choose a controlled publication process, check the relevant image choices and decide who can add material. Explain to families when updates will be available.

A restricted gallery can limit the audience, but it does not prevent a viewer from making a copy. In a group-based gallery, review exactly which families have access to the selected groups. Do not assume it automatically contains only the people attending that particular camp.

How this works in Klubownik

Create a camp or day camp in Camps. Set dates, capacity, price, initial payment, options and transport, with supported family discounts in the pricing configuration. Parents can use the parent panel, a public form or an embedded widget. The camp's link and embedding tools provide the appropriate entry route, including registration by people outside the club.

  • Instalments: enable and configure the initial payment and instalment arrangement for that camp.
  • Payment records: review payments and outstanding amounts against the registration.
  • Participant cards: generate supported PDF cards. The built-in qualification-card template targets the Polish official form. Staff still complete and review the sections and actions required of them; generating a PDF is not proof that the entire camp process is compliant.
  • Gallery: a private photo gallery can be made available to parents of selected groups, with access and publication choices checked separately.

Camp payments are handled by bank transfer; Klubownik does not provide online camp payment checkout. Do not confuse this with the separate event-payment workflow. See camps and events, including the shared tools for a sports academy.

Frequently asked questions

Can a parent pay for a camp in instalments?

Yes, if the organiser offers that arrangement and configures it for the camp. Set the initial payment and instalments and provide the family with its actual schedule. Payments for the camp are by bank transfer.

Can someone outside the club register?

Yes. Share the public camp form or embed its widget. The supported form accepts people who are not already members of the club.

Do day camps need formal notification?

The Polish holiday-recreation framework includes day camps. Confirm whether the particular activity falls within that framework and the notification arrangements that apply. For another country, establish the local requirements separately.

The demo uses sample records and asks for your email and activity type before entry. Review the club and parent panels.
