Club finances: fees, payments, invoicing and instructor earnings

Organise charges, online payments, bank imports, invoices and instructor earnings. Understand setup conditions and the limits of Polish KSeF, fiscal devices and automation.

Club finances become easier to organise when charges, received payments, invoices and staff earnings are shown separately. These are different steps: creating a charge does not mean receiving money, and approving an instructor's report does not execute a bank transfer. Start with one recurring process and check it against an actual settlement.

1. Establish the charge and payment period

Check the pass, group, period, discount and due date. For a family with several children, compare each person's amount with the whole family bill. Agree how partial payments, overpayments and cancellations are handled. A message to a parent should describe the same charge the administrator sees.

Klubownik's fees and payments have their own statuses. A “bank transfer” method label or a parent's payment declaration does not prove the money has arrived. Before manually confirming payment, check the bank account and the correct participant and period.

2. Online payment and a bank payout are separate stages

With a configured integration, the participant can proceed to a payment provider. Available methods depend on the provider, country, currency, account verification and charge type. A confirmed successful transaction can settle the relevant payment in the system; the provider's terms determine when money is paid out to the bank account.

Do not assume a fixed completion time, zero processing fees or immediate availability of every method. Check fees, refunds and a failed attempt, then compare the parent and administrator views. Camps in Klubownik have a separate bank-transfer payment process, so enabling membership payments does not automatically provide the same camp checkout.

3. Bank imports: a match proposal is different from a recorded payment

For ordinary transfers, clear references and identifiers help. Bank import and matching use transaction data to find the participant and charge. A suggested match does not necessarily create a paid membership fee yet.

Check the supported file format, currency, transaction direction, date, amount and period. Ambiguous matches need review; a similar surname or identical amount is insufficient. For a payment covering siblings, verify the split and total, and check duplicates before importing again. The current obligation-matching process described here uses PLN, without a promise of support for every bank and currency.

4. Invoices and Polish KSeF submission need their own setup

Issuing an invoice, automatically creating it and submitting it to Poland's KSeF are separate settings. Correct business details, access, environment configuration and permissions are required. Check the submission status and result rather than treating a click as proof that KSeF accepted the document.

Agree the invoicing duty and treatment of a particular sale with your accountant. Poland's Ministry of Finance publishes current information on the official KSeF website. An integration with the Polish system does not establish invoicing compliance in another country. Setup time depends on the business and its configuration.

5. Instructor earnings: records of amounts owed

Staff earnings records depend on configured rules and recorded classes. Before closing the period, check rates, duration, cover, corrections and instructor assignments. Compare an example against the agreement that actually applies in your club.

A report and a paid status help organise records, but they are not bank confirmation that a transfer occurred. This area does not replace payroll, social contributions or tax calculations. An electronic agreement's acceptance record also does not guarantee that every legally required form has been met for every agreement type.

6. Fiscal devices: confirm the model and pilot scope

Fiscal-device integrations depend on the model, local connection and setup. Posnet and Elzab adapters have pilot scope; this does not establish readiness for every device from those brands or automatic receipt printing after every payment. Confirm the exact configuration and accept a trial process before relying on it for sales.

Determine sales-recording obligations for your activity and country. Buying a device or enabling an application option does not finish setup or replace checking the resulting document.

Where to start in your club

  1. Choose one group and check its charge, discount and due date.
  2. Follow the chosen payment method and check both views and the status.
  3. Compare the payment report with the bank account and resolve items needing review.
  4. Accept invoicing, instructor earnings and devices as separate processes if needed.
  5. Measure your own time and corrections before the change and after a full working period.

The Klubownik demo shows processes using sample data; entry requires an email address and an activity type. For a club outside Poland, confirm currency, provider and local documents. Polish conditions do not automatically establish an international offer.
