Season-start documents for your club: versions, consent and acceptance

Organise family documents, privacy information and optional photo choices. Includes version records, practical acceptance routes and clearly identified Polish safeguarding requirements.

At the start of a season, bring participant registration, club terms, fee rules, privacy information and optional photo choices into one organised process. Keep a record of who accepted which version. Clubs working with children also need the safeguarding arrangements applicable to their activity and country. The operational steps below can help clubs organise this work; the legal section describes Poland, rather than a single document set valid throughout the EU.

Which documents does a club usually organise?

  • A membership declaration or participation application: necessary participant and guardian details, the selected group and acceptance of applicable club and fee rules.
  • Privacy information: who uses the information, for which purposes, on what basis and for how long.
  • Photo publication choices: a separate optional decision where the club relies on consent for the intended use of a child's image.
  • Safeguarding information: the club's procedures and accessible information for parents and children where applicable.
  • Activity-specific records: for example, the relevant camp participant form or a required sporting document. Establish the actual requirement before adding it to every registration.

Collect information for a defined need. In particular, do not use a general class form to request a complete medical history. Decide what information is necessary, its appropriate basis and who should handle it. An available field is not a reason to collect more.

Poland: safeguarding standards are an organiser's responsibility

Articles 22b and 22c of the Polish Act on counteracting sexual crime and protecting minors, as amended, set the relevant scope and standards. Covered organisers include sporting activities involving minors. Check how the provisions apply to the club.

The standards address safe relationships, prohibited conduct, intervention, responsible people and incident records. They also cover access to the standards and staff preparation. The Act requires assessment at least every two years with written conclusions, and publication online and at the premises in full and child-accessible versions.

A parent's acknowledgement can be an additional record; it does not replace publication or implementation. Staff checks are a separate matter under Article 21. Establish the required checks and documents for the person's circumstances, including applicable exceptions. Software statements do not perform those checks for the organiser.

These are Poland-specific points checked against official sources on 1 November 2026, not individual legal advice or a complete procedure. A club elsewhere must establish its own country's requirements.

Privacy information and photo choices are different things

Explain the use of information when collecting it. The Polish data protection authority's guidance describes clear information about purpose, legal basis, retention, relevant contact details and people's rights. Giving that information is different from asking for consent.

In its guidance reported from a children's sport conference, UODO explains that consent to use a child's image can be withdrawn and that refusing it must not be tied to exclusion from participation. Describe the intended use separately, and make the current choice available to the people handling photographs.

A general acknowledgement of privacy information should not silently become permission for every future photograph or promotional use. Agree how changes and withdrawals reach the relevant staff.

Keep versions and acceptance records together

When rules or pricing documents change, the club needs to know what each person saw and accepted:

  1. Give the document a version and date.
  2. Keep earlier versions and their acceptance records rather than overwrite the history.
  3. For a change requiring new acceptance, explain what changed and follow the club's contract and applicable rules.
  4. Check who has not completed the required step and contact the relevant people rather than everyone indiscriminately.

A list of names without the associated document version is difficult to interpret later. Likewise, issuing a new version is not the same as demonstrating that each family has accepted it.

Online acceptance and a paper alternative

Online acceptance can make the document and its version easier to find when the record includes the actual content and time. Where a drawn signature is used, a finger or mouse signature is not a qualified electronic signature. Establish any special form required for the document concerned.

Keep an assisted or paper route where appropriate. A returned scan should be reviewed by the club; uploading a file alone does not establish that it contains the correct completed document.

How this works in Klubownik

In AI Documents, start from a supported template, your own PDF or a new document. Templates are a starting point for the club to review, not legal advice or confirmation that the wording fits every country. Supported reusable clauses and participant or club fields help prepare the document.

  • Acceptance method: choose the supported signature, acknowledgement or optional consent route and the groups concerned.
  • Registration: a required document can be presented during club registration. Optional choices are separate for each child. Other supported documents can be handled in the parent portal or through a signed-paper scan.
  • Evidence: the acceptance record includes the personalised document content, version, time and IP address. Publish the appropriate new version when the wording changes and follow the required acceptance process.
  • Signature register: review acceptance of the current version and export the register to CSV. The AI Documents register has a manual reminder action; do not assume every document has an enabled automatic reminder cycle.
  • Family and staff views: the attendance list shows participants without photo permission. If the club enables the missing-document restriction, the parent is directed to the document screen until the required work is completed.
  • Polish safeguarding module: supported standards templates and attachments, including child-facing information, staff statements and an incident form, can support record organisation and review reminders. Klubownik does not check staff against the official registers.

See documents and consents and the shared tools for school sports clubs. File import does not migrate documents; plan collection separately when moving from another system.

Frequently asked questions

Must a parent sign the Polish safeguarding standards?

The relevant statutory duties concern making the standards accessible and publishing them as required. An additional acknowledgement does not replace those duties. Check the process for the actual organisation.

Can photo consent be a condition of joining?

UODO's cited guidance separates participation from refusal of image consent. Keep the photo choice separate and optional, and respect a subsequent withdrawal.

Are Klubownik's templates sufficient on their own?

They are preparation tools. Review the wording for the activity, organisation and country, and obtain appropriate advice where needed.

A new owner's first club can have a 30-day trial without a payment card. Create your first club and review its document workflow.
